Start with four short answers
- Where do we collect? City, street, building number, floor and business name if applicable. Add a contact person and phone number.
- Where do we deliver? Full address, recipient’s name and a reachable phone number. Include reception hours or entry instructions needed to reach the address.
- What are you sending? Describe the item, number of packages, dimensions and approximate weight. Mention if it is fragile, sensitive or must remain upright.
- When does it need to arrive? Requested date and time, plus when the item will be ready for collection. The time will be confirmed in our conversation after checking availability.
This information helps us with an initial enquiry for a parcel delivery, document delivery or a business order. There is no need to include personal details or document contents that are not needed for the delivery.
Prepare the packaging before pickup
Choose packaging that fits the item and close it securely. Prevent the contents moving freely inside the box and separate items that could damage each other. Put envelopes and documents in a sealed envelope of the right size.
For flowers, gifts or gift boxes, tell us any handling instructions in advance. A photo and description of the packaging can help, especially when its size is hard to explain. If special transport conditions are needed, confirm suitability before booking a courier.
Check that the recipient can receive it
An office that is closing or a recipient who is away can disrupt the plan. Check availability in advance, add a contact person and say whether the delivery must be handed to a specific individual.
If you want to leave the parcel at reception or use another handover arrangement, agree this in the conversation. Don’t assume the courier can choose where to leave an important or delicate item.
For an urgent delivery, specify a time
When something must arrive today, the difference between ‘during the day’ and ‘before the office closes’ matters for planning. State the requested time and whether there is any flexibility.

Several destinations? Make a clear list
For business deliveries to several customers, list each recipient’s name, address, phone number and item count. Match parcel labels to the list and specify any priorities or delivery windows.
For a legal document delivery or a document with additional requirements, include the handover and confirmation requirements. These need to be clarified before collection.
